We are a supported housing provider supporting people who have gone through the criminal justice system and is registered with the Information Commissioner’s Office as a Data Controller under the General Data Protection Regulations 2018. This Privacy Notice is a public document available to anyone and applies to customers of Naskam Homes CIC to explain how the organisation collects and processes personal information in order to conduct normal business activities as a supported Housing organisation.

This privacy policy will inform you of what personal information we hold about you and how we use any personal information we collect. We collect information about you when you use any of our services or when you visit our website

Naskam Homes CIC is the Data Controller whose head office is located at 2 Pelham Road, Nottingham, NG5 1AP Tel: 0115 9625385. The company Data Protection Officer can be contacted at Naskamhomes@gmail.com. We currently controlled 39 beds in two properties in Nottingham and employ 7 staff, based at our office.

 

Information we collect about you

We may hold personal data such as your
Full names
Your dates of birth
your contact details (phone, email or correspondence address).
records of any transactions you made with us, this to include payments or requests for information.
personal data including gender; ethnicity; religion, sexual orientation, and medical history.
proof of your identity/photo ID.
National Insurance number
Details of anyone authorised to act on your behalf if applicable.
Banking details if you pay your service charge by Direct Debit.
Card details if you pay by any payment by card
Proof of housing eligibility
Other personal information that will vary on a case by case basis to help us resolve breach of licensing agreement, alleged anti-social behaviour or fraud.

We may also collect from you includes:
Disabilities or vulnerabilities so we can tailor service to meet your specific needs
information for the safeguarding of staff.
Financial information to use in helping to resolve arrears payments and to provide welfare, benefits, and debt management, to help you budget, pay your bills or apply for funding on your behalf.

 

We collect information about you when

We receive a referral from the Local Authority, probation service, and other referring partner or when you fill in an application form to be housed in one of our properties
Request any of our services, customer surveys have done voluntarily; you giving us feedback or make a complaint;
Make an application for employment and become a paid member of staff;
Make an application for volunteering and become an unpaid member of staff;
Make an application to becoming part of our company such as a Board member;

We also process personal information collected via our CCTV systems and we monitor and collect visual images for security reasons, such as in the prevention and detection of crime, Staff safety, and monitoring purposes. All telephone calls made to our office are recorded and are used to support staff development and improve the services that we provide to you. We may receive information about you from other agencies such as the housing benefit, Local Authority, the Department of Work and Pensions, the probation office, the Police or the National Health Service.

 

The way in which information about you is used

We use your personal information to enable us to provide you with accommodation and to communicate with you in order to provide services that meet your needs to ensure that we meet all our legal and statutory duties such as those which apply under the Equality Act 2010. help us with crime prevention and the prosecution of offenders and to protect individuals from harm.

Provide you with welfare services including advice and appropriate support
Carry out research and to provide anonymised information to help improve our services and direct funds to the most appropriate areas
Assess your suitability for a job vacancy or to assess your suitability to become a member of our organisation.

 

Sharing your information

We may share your personal information with other organisations where it is necessary to fulfil our obligations and contract, where we need to ensure that you are being paid the correct benefit entitlement such as with the Department of Work and Pension or housing benefits department, probation services or where we are legally required to do so.

Where this is necessary we are required to comply with all aspects of (General Data Protection Regulation (GDPR)
We will not share your information with third parties for marketing purposes.

 

Transferring information overseas

We do not transfer any personal information outside of the EEA.

 

How long do we store information?

Personal data collected by Naskam Homes is kept for as long as is necessary for the various purposes mentioned and in line with our Data Retention Policy. Data retention periods vary depending on the type of personal data and the purposes for processing the data. Factors which affect how long personal data is held are also dependent on relevance to possible future claims, and applicable legal, accounting, reporting, finance, and regulatory requirements.

 

Your rights to access data

Any requests for information must be made in writing and include proof of your identity. If we consider that your request is unfounded, asking for too much information or it is information we have previously provided then may to respond to your request, we will advise you of our reason within one month of your request.
You have the right to appeal to the Information Commissioner’s Office or to seek a judicial remedy.
You have the right to withdraw consent for the use of your information at any time; however, this may affect the service that we are able to provide for you
we need to have access to information you provide in respect of any accommodation application
in order to ensure our compliance with the allocations Policy and to ensure that we provide you with accommodation that is suitable for your needs.

If you believe that the information we hold on you is incorrect then you should notify us and we will arrange to have the information corrected within one month of you telling us. We will also tell anyone else to who we have provided this information. You also have an additional right to have a copy of any information that you have provided to us in order to provide that information to another supported housing provider or agency.

 

What we would also like to do with the data

We may wish to contact you to take part in some independent research or to provide you with specific advice around future services.
If you have consented to receive marketing, you may opt out at a later date.
You have the right to stop us from contacting you for marketing purposes.
If you no longer wish to be contacted for marketing purposes, please contact the organisation.
